Personal Assistant to CEO

We are searching for skilled and mature Personal Assistant with minimum of three years experience in managing the agenda of a senior executive to support our CEO - Dr. Jan Petráček, who is leading companies within Ergomed Group - PRIMEVIGILANCE (based in the Czech Republic, UK, Croatia, Serbia, USA and Germany) and PHARMINVENT (based in Prague). We are dynamically growing provider of consultancy services to pharmaceutical industry and regulators in the field of pharmacovigilance, with over 500 employees, and growing.

Responsibilities and activities, you can expect:

  • Organizational support for CEO – organization of the CEO´s agenda, maintaining his diary
  • Handling correspondence, including emails, for CEO
  • Communication with Ergomed Group teams (CEO has 12 direct subordinates) & with clients on daily basis
  • Arranging and organizing meetings, business trips, conference calls, videoconferences
  • Taking care of bills, expenses, travel costs, timesheets
  • Administrative support, preparing presentations
  • Preparing and managing reports, working in Excel
  • Supporting marketing activities
  • Occasional travelling

The ideal candidate might be someone who has:

  • Minimum of three years experience in managing the agenda of a senior executive
  • Excellent knowledge of English language, business correspondence included
  • Knowledge of pharmacovigilance processes is an advantage
  • Strong organizational and communication skills
  • High performance, willingness to work over-time when necessary
  • Mature personality, able to cope with stress situations
  • Independent person with good time management, and ability to pay attention to detail
  • Experience in pharma business is an advantage
  • Positive attitude and hands-on approach
  • High proficiency in MS Office
  • Secondary/University education
